We are looking to create a beta group with a diverse set of our end users for all of the new AI tools that are coming down the pipeline. We have attempted beta groups in the past with little to no success and what feels to be a waste of time. I am curious if anyone else currently does this with their teams & can provide any light on how to measure success of the groups, encourage / require participation, & also set expectations of what is expected for these users.

Our main goal is to identify appropriate use cases for the different tools and how they relate to our company, do our customer benefit from us using these tools, & ensure we have all appropriate resources / education in place when we roll it out to the rest of the department.

I’d be happy to help out here. I run Beta Program Community groups for all beta programs, and the intent of these groups is to facilitate general discussions among Beta participants and address any questions they may have for the Product Manager.

I ensure that the Product Manager and Engineering Manager are added to handle any questions specific to the feature specifications. A few more PMs with associated products are also included.

One effective practice for these groups is having someone monitor posts and ensure all queries are responded to and if there's any delay, the responsible person is notified.

We also post FAQs, support documentation, demo videos, and a feedback form to report bugs in the group info, making it easy for participants to find what they need.

Multiple reminders are sent to participants to join the group, and highlighting interesting conversations happening in the Community encourages them to participate.

Office Hours and Roundtables are announced on the channel for participants to sign up, and any events happening within the beta are also promoted to create buzz.

Lastly, we post a Welcome Post at the beginning and a Closing Post at the end of the beta to inform participants of the start and end dates.
