Dear community,

we frequently host webinars that are open (or semi-open) to the public, and I’ve noticed that many attendees join with AI note-taking tools alongside them. Since we already provide recordings, I’m not entirely sure what additional value these tools bring in this context.

I’d love to get your perspective- how do you handle AI note-takers in your webinars? Do you have any guidelines or restrictions in place, or do you allow them without limitations?

We do not allow notetakers in our webinars. As you said, not only are they redundant, but given that our webinars often include product details and potentially forward-looking statements, we want to avoid summaries that we don’t write ourselves. 

We host our events on Zoom, so it’s fairly easy as the host to boot any AI notetakers. A lot of our attendees actually ask us to do that; their notetakers join automatically, and they feel a bit sheepish about that.

yep, my thoughts exactly ​@atwhite  How do you guys block them out in Zoom? There are so many of them beyond Otter. I  recently saw Firely and a bunch of others...

@darko_2 If we see one join (which usually is pretty obvious, as they’re either called “Notetaker” or there’s an alert in the chat about it), we just remove them. We don’t use any methods of proactively blocking them. 

I’ve seen some methods that may partially work:

  • Turn on the setting for “Only authenticated meeting participants and webinar attendees can join meetings and webinars.”
  • Block Read.ai, Otter.ai, Fathom.video, etc. as domains.
  • Turn on the setting for “Only authenticated users can join meetings from Web client.”

...but I’m sure the best option is still just vigilance.

got you, thank you for the ideas! Yesterday I came across a bunch of AI notetakers generating posts in the main chat ( like the one below). So from participant list you couldn’t necessarily see the notetakers and frankly I didn’t want to risk and post “/ff leave” in the main chat 😅
