Best practice for managing community users who leave their company?
How are other Gainsight Customer Communities handling users who are no longer with the company associated with their community account?
We regularly receive email bounces indicating that a subscribed community member is no longer at their company. I’m trying to determine the best practice for managing those accounts.
I don’t think Ban is the right fit, since I associate that more with spam, abuse, or moderation issues. But Erase also seems potentially too permanent, especially if that person later joins another customer company and wants to participate in the community again.
A few things I’d love to understand:
-
Do you typically leave these accounts as-is, ban them, erase them, or use another process?
-
Is there a way to deactivate an account or stop its email subscriptions without deleting the user?
-
If a user is erased and later rejoins with a new work or personal email, can any of their previous badges, points, posts, or other community history be restored or connected to the new account?
Would love to hear what other community admins are doing and what Gainsight recommends.
