Merge Users when they leave the company

I’m receiving multiple requests from users who have left their current employer and would like to remain part of our community.

It would be beneficial to merge their accounts so that all their activity, such as replies, topics, subscriptions, badges, and points remains associated with them.

Is this possible to do in Gainsight? Or do they have to create a net new account, and if this is the case, how can their prior activity be merges into the new account.

What I do is have the user create a new account. Once the new account is created, I transfer the SSO token and email from the new account to the old account. This gives them access to the account they used historically.

No merge exists yet, unfortunately. Significant pain point.

You could manually updated their old account with their new email, but that’s about it.

As such, you get duplicate accounts and activity.

I try to catch duplicates early and update the legacy account (and delete or ban) the new account as early as I can. That way the user gets what they want: all their posts, points, and badges on their account with their new email.

But there’s not a good admin solution yet.

What I do is have those people send an email to our team and we will update their account with a new email address. And if it's the same as the SSO, the SSO will remain working via a new customer as well. For us this only happens max 2-5 times a month so this is still a workable solution.

There’s an idea on this that Gainsight just this week moved from Open to Parked. They indicated they would re-evaluate with more feedback, so I recommend voting and commenting.

We do what @mitchell.gordon does. Not a great solution but a solution😁
