Best Practice on Deleting Jo Programs/Emails and cleaning up folders
Hi,
There doesn’t seem to be a way to exclude completed JOs and Emails from the All folder list. This ends up causing a lot of mess. I understand that we can drill down to folders and select program status.
What would be a best practice on cleaning up completed emails and JOs? I’ve been placing them in Archived folders, but they still show up in the main All folders.

Every so often I do a huge cleanup and go through to delete our 1x sends (from both templates and JOs) that are over a year old. But it’s definitely not a good way of doing things.
Just added a new idea -- and here’s another related idea:
We manually delete as needed or if we have the time to do an annual cleanup to delete multiple. An archive folder is a great way to start so when you are ready to delete it’s all in one place. The only other option is using the filters to exclude any JOs that are stopped but I think the filters reset each time you log-in or refresh the page.
Yep, we have an archive folder. Mine (yes, screenshots are from the old email template builder view because the titles can be seen more easily) are two-fold right now, since I’ve got folders built for old (current) and new (future) templates as we start our dynamic JO migration so I can more easily keep things separated.
Old archives: saving old programs that might have logic I want to use in new ideas
New archives: sorted by what the old programs did or what type they were.
I had also asked a question to our Gainsight team about any ramifications to deleting old programs. This is the answer I received.
When deleting a program, you can still gather data from objects within Report Builder, such as Email Log V2 and AO Analytics. However the program itself will not show within the Digital Journey > Journey Analytics tab anymore once it is deleted so you will have to unitize report builder for all of the information.
I would review the objects I mentioned (Email Log V2 and AO Analytics) just to make sure they have the fields and data you would need before you delete any program you still need data on.
It seems if this is the case, shouldn’t Gainsight be providing a canned report/dashboard that replicates the results we are seeing in the JO analytics view?
This also implies that if we want to see quarterly, yearly results, we would not be able to delete any of our programs if we wanted to get the stats from Journey Analytics correct?

To point one -- agreed. This is one my to-dos for myself (see @dan_wiegert’s amazing post) -- to create some email/JO focused dashboards (both for myself, and other internal teams).
To point 2 -- this is YET ANOTHER reason that not being able to edit active programs (this idea below) makes dynamic JO almost a non-starter for us. We shouldn’t have to create new programs every time we want to update the content or query for a long running program (ex: new user programs, reactivation series, etc.) -- but as it is, many of us end up with multiple programs that represent the numerous iterations over the years. It’d be fantastic to be able to have that historical data, and we do, to some extent, but not in the same way it’s available within the program dashboards.
