Why is the number of users that match my criteria lower than my actual users?

On top of the recipient filters that you apply, we automatically filter out all users that have unsubscribed, as well as all users that haven’t been active in the last 365 days. The reason for that is that sending mass emails to inactive users creates a risk of high complaint rates as a significant proportion of recipients may mark the email as spam. It also skews campaign metrics as you might reach users that either don’t use your product anymore or have become inactive for other reasons.

What does ‘Last activity’ mean?

Last activity constitutes every action that a logged in user took on your community, so even a page view while being logged in counts as activity.

What happens when a user unsubscribes from Email Campaigns?

If a user unsubscribes from an email sent through Email Campaigns:

  • they will only unsubscribe from future email campaigns and not from any other emails
  • they will no longer receive email campaigns you send as we automatically filter out unsubscribed users
  • they can subscribe again from their profile settings page by enabling the toggle for Email Campaigns again

Quick question—my profile doesn’t seem to have those toggles anymore, and I’m guessing there have been some updates since then. What’s the current process for a user to subscribe to the newsletter? As an admin, I do have a filtered option for 'Registered users,' but it seems to be capped on my end.

Hi ​@Wasim_Cassim - every community member has a toggle in their settings to enable or disable the receipt of email campaigns.  In this community you’ll find that setting here: https://communities.gainsight.com/settings/notifications.  A new member will by default have this setting enabled, but they can unsubscribe at any point.
