The new Horizon Analytics has settings where you can enable or disable report exporting/data downloads, which is great, but it’s an all-or-nothing approach to data exports. Instead, it would be better if we could enable/disable report exports at the individual report level.

The use case is for a group of users that all have the same permission bundle -- our CSMs, so even enabling/disabling downloading from the user level won’t solve for this use case. There are some reports I want CSMs to be able to download, and some I don’t want them to be able to download, but that’s not possible with current functionality.

Hi Gainsight Product Team, this request is a year old and we have a similar use case. Enabling download of reports is the number one request that we receive as admins from our CSMs, for obvious reasons. Unfortunately the All or Nothing approach of enabling downloads of reports is insufficient from a Data Privacy & Business Information Security standpoint. We are a Global Company and must comply with privacy regulations in over 100+ jurisdictions around the world. In addition to enabling download at the report level, could we leverage User Groups to permission this downloading. Would there be a way to also restrict the number of rows a download could have? For example, could we restrict it to 1000 rows. And finally, if we were called on by an auditor to report on which reports are being downloaded and by whom, it would be nice to be able to serve up that information if necessary. I would be amenable to speaking with your product team to help them understand why these things would be necessary for an organization like ours.

Looking forward to a Gainsight response.

Adding on to this, the all or nothing approach to this feature is not a usable solution and is inconsistent with the Super Admin capabilities of other features.  Downloading data is something that Admins do often when troubleshooting or performing data analytics.  Additionally, users with the right permissions should be able to download data.  We have to adhere to policies by our Legal & Compliance team that only allow certain individuals at the company to download data so we have to disable for all in this case.

This functionality would be incredibly useful for our team and is a huge pain point for my CS Managers. If I could limit the download function by report or even by object, it would improve our workflows and save my company a lot of time.

Hi,

We are in dire need of this enhancement. Please let us know when you expect this to be in production. We have highly sensitive reporting that should be view only and we are only able to disable downloading for ALL reports, not just the select few.

@Prateek Parashar - any updates on this one?

Hello All,

We’ve picked this feature for development, and as part of the process, we’d like to understand one thing:

What’s the typical use case for your org?

  • Do you expect most reports to be downloadable, with only a few restricted?

  • Or do you expect most reports to be non-downloadable, with only a few exceptions?

Your response will hugely help us better understand common usage patterns as we build out the functionality.

From my experience, the latter. We’d like to limit the exporting of reports to a select few and/or to select individuals who have received data export approval from our compliance & legal teams. Plus ensuring Super Admins can continue to have full export needs.

@Prateek Parashar - Thinking through report permissioning---Generally we have two scenarios we need to limit downloads for: 1) At the User-level; so, someone, for example, outside of our BU needs access to a dashboard but we don’t want him/her to have access to download one or more reports and 2) Want to be able to have control over which ones are downloadable (not ALL or NOTHING)--usually it’s a smaller handful of reports we want to restrict.

As we are currently reviewing security procedures, can you provide more insight here into expected behavior?
