Make all users accept the new Terms & Conditions

With changing local laws and evolving community rules & regulations, it is necessary to edit the Terms & Conditions page at times. But currently it’s not possible to force all existing users to re-accept the T&C.

Therefore we propose that the Terms & Conditions page gets an additional feature:

When editing the page you get two options:

  • Save T&C without noticing all registered users (e.g. when you only fix a typo or change some minor layout issues)
  • Save T&C and make all registered users re-accept when they login the next time (e.g. when you add a new paragraph regarding data protection)

If you choose the second option, then an overlay appears the next time an already registered users logs in or starts a new session in the community, providing a link to the Terms & Conditions page and forcing the users to accept before they can continue.

Interesting idea. I don’t have a particular need for this as our agreements are written to allow for ongoing T&C updates without notification, but can see how some folks may require this from time-to-time when changes occur. Like the options you’ve provided.

I know this idea has come up before. Currently we don’t have any concrete plans for this yet, so for now I’ll leave the idea open.

Use Case: We’d like to expand our use of the community but it's important we have our users notified and accepting of the new terms and conditions before they continue their use of the system.

Thanks for the detailed suggestions here, could you clarify:

  • Is your primary goal to block access until users re-accept updated Terms? Do you see engagement getting affected here?
  • Or do you require a legal-grade evidence of consent version history?

I am trying to determine whether this needs an enforcement mechanism or a more formal versioning and tracking approach.

Hi Sudhanshu,

For us, both would be important.  We haven’t had a big enough change where blocking users until they re-accept has been an issue but I could see the need for that down the line, especially as AI usage grows. 

We do for sure have a need for consent version history and specifically in this context:

When we import users we’d like them to be prompted upon first login to accept T&C. Currently, we send them an email based on their newly imported status which says something along the lines of “by clicking ‘Go to Community’ you are accepting the terms and conditions [hyperlinked]”. Being able to track that each user physically accepted the terms and conditions is important to us.

@Sudhanshu My use case is primarily the former as an enforcement mechanism.
