Privacy / Data erasure policy: Fully remove a username from the community after account removal

inSided stated in their data erasure policy that when a user account is being removed - in order to anonymize a user:

  • “no personal data is available anymore, nor in the system nor in any backup - the user record can no longer be retrieved”
  • “their content will be left intact to avoid damage to the community - but the attached user record is now Anonymized”

But unfortunately that’s not fully true.

 

What happens:

  • A user (in this case “Spreeandre”) registers in the community, posts topics and / or comments
  • Other users interact with this user by quoting or mentioning them
  • The user then asks for his account to be deleted
  • After the account is deleted, the user’s own content is being anonymized
  • But: The username in mentions and quotes won’t be anonymized → inSided’s claim that “no personal data is available anymore” isn’t true because it is still easily possible to connect the anonymized content to the original username (which can easily be found via Google)

The reason why this happens is:

  • The username is being inserted as a plain text so after a posting was published, the username is a fix part of the content
  • The correct way of doing it would be to load the username from the database every time the content is being loaded → So when a change is being made (e.g. username change or user is being removed), the data will be loaded from the database and instead of the plain text username the updated “Anonymous” (or changed username) will be displayed

That’s why our proposal is:

In order to really ensure the “right to be forgotten”, it is necessary to change the way the usernames are being displayed in mentions and quotes. It is necessary to pull the data from the database instead of inserting usernames in plain text.

If this isn’t done, inSided customers are violating the GDPR because they don’t fully remove the identifiable user data from the platform automatically (and doing it manually by editing every single piece of content where an anonymized user was being mentioned or quoted is a very time-consuming and error-prone work around).

Any news here?

I am asking this because it finally happened – we had a certain member for years, and the user wanted to leave our community. The user has written hundreds of comments over the years and is quoted a lot. I mean, a lot.

Problem 1:

We have to manually find the comments where the user is mentioned.

If you perform a community search to find topics where the user is mentioned (with or without @mention), I have a list of topics. Sadly, there are topics with hundreds of comments – pages 10–20 or even more. It is quite difficult to find the comment where the user is mentioned so that I can delete it.

If search could point directly to the specific comment, it would help us a lot. It would also help members and visitors, as they sometimes struggle to find certain information. It is frustrating to read through an entire topic with 10–20 pages of comments just to locate one piece of information.

Problem 2:

We have to manually edit the comment and remove the @mention. This applies in situations where the deleted user is quoted.

Addition to what I mentioned above:

The user has posted in a topic that currently has 1227 comments across 50 pages.

Imagine having to search page by page to find where the nickname appears.

I have used Google and found 3 mentions (with our without @), but there are more. For some reason, Google doesn’t find all of them.

Arrghhhhhhhh!!!!!!!!!!

I wonder that in a case like this, would support be able to at least make a query to find all mentions and send a list of links to those? 🤔 Or really anything to help, finding all of them manually sounds like a full-time job. 🙁

Hmm, I think that when user is @mentioned in a post, the username is deleted when the account is removed.
 
But now I noticed that the username isn´t deleted when the account is removed.
 
Do I remember incorrectly, or is there currently an issue with account removal?

I have again case where an old user wanted to leave the community. The user has hundreds of posts. There are hundreds of @mentions and hundreds of quotes…

Should we build an AI agent to find usernames and edit them for us using an API?

This idea is  nice for privacy concern. We will continue to explore and collect more feedbacks to make the right decision. we will continue to explore this later next year. As of now parking this idea
