I can’t believe this idea doesn’t exist yet, as I’m nearly positive this was discussed during the betas for Segments and Email Campaigns. Maybe that’s why… perhaps it was mentioned as on the road map. Anyway, here’s the idea. 

Current State:

Segments can’t be used for automated emails

Ideal State: Trigger Email Campaigns based on Segments

  • When a user fits the criteria for a segment, they are added to the segment
  • New users in the segment are sent the automated email 

Use cases: Too many to list. Onboarding, engagement, you name it. 

Current workaround: 

  1. Create the segment based on the criteria 
  2. Create a custom role
  3. Create the automated email based on the custom role
  4. Add the custom role via bulk action on the segment
    1. Automated email is triggered on add to that user

But that is very far from ideal, as it requires manual steps and can’t be fully automated. It blocks real-time use cases like this one I wanted to build: When a user creates their first topic, send them an email to provide helpful content, context, FAQs, etc.

In voicing the need for this to my CSM, I came up with a something that would be a better work around and initial step in this direction:

Implementing this would be the least engineering needed (I assume) to connect Segments to the Automated Email functionality. It would also empower CMs and Admins to automate workflows for Automated Emails based on Segments:

  1. Webhook event for user.SegmentAdded (or whatever you call it)
  2. automation to add a pre-defined custom role
  3. Automated Email that sends emails to those with that specific user role. 

Then you write a how to article in your documentation (or just pin this reply when you update this idea to “Partially Delivered”)
