How To Add Metadata To Posts And Then Export The Data (Using Post Fields)

Suppose you want to track data around things like user sentiment, bug reports and content quality, on the level of an individual post (post, here is an individual reply in a topic--including the topic starter)? You can create Post Fields, and enter this extra data as part of your moderation process. Personally, I use Post Fields to track user mindfulness on inSpired - the data reveals that you guys are all pretty laid back!
 

How To Create A New Post Field

  1. Go to Control > Settings > Topic > Post Fields
  2. Click ‘Add post field’.
  3. For your new field, add a Title, choose its ‘visibility’ (i.e., for which categories should moderators be able to enter data in the field), and choose its input type (plain text, or a multi-/single-select dropdown).
  4. Click ‘Save changes’ and you’re done.

 

How To Enter Data In A Post Field

  1. In Control, go to a post for which you’d like to enter data.
  2. At the bottom of the post, click ‘Post Fields’ to show all active Post Fields.
  3. Enter data to your heart’s content - anything you put in will save automatically.

How To Export Post Fields Data

  1. Go to Control > Analytics > Post Fields Analysis.
  2. Add Filters to narrow down the scope of your export: you can filter on forums, time range (based on when the post was created), and one more Post Fields that you want to view.
  3. Click ‘Apply’ to immediately see a visual overview of the results of your export.
  4. Click ‘Export results’ and then navigate to Control > Analytics > Export to download your export (in CSV format).

 ⚠️ On the Post Fields Analysis page, the ‘Percentage overview of filtered post fields’ is not filtered by the selected time range (i.e. it shows a general overview of the Post Fields, not an overview of the Post Fields for that time period).

🎯 Want your Post Field to have a specific default entry whenever a post is created? When creating a Post Field, add a placeholder.

:bulb: Want to disable a Post Field for all posts without losing any of the data you’ve gathered so far? Edit the Post Field and set its visibility to ‘Hidden (invisible in all sub-forums)’. You’ll still be able to export data for this Post Field, but moderators won’t be able to see or add new data to it.

So the percentage doesn’t change depending on the time frame, but what about the volume of post fields? 

 

Surely changing the date range will change the reported volumes?

When exporting data, post description column has data like a “html format”. It makes difficult to read the post. Is there easy way to get rid of the html? This is especially difficult when there is quotes (one ore more) in the post what is marked with Post field.

Any tips here?

Thanks for the post ​@Frank. Is there a way to expose the Post Fields in the end-user search results? I would like to apply structured metadata to all community contribution types (articles, questions, and conversations) so it’s easy for users to identify content based on its level of difficulty: Beginner, Intermediate, and Expert. Labels are great, but only for articles. Tags are an option, but there’s a laundry list of tags displayed in the search results. I would like to have a search filter for each Post Field. Have you seen this done?

Hi ​@davetee - I don’t believe there’s any way to expose Post-fields in the search results. Using existing functionality I think the best approach for your use case is indeed to use tags.  If you really wanted to double-down on tags for this and avoid the long messy list in the search results page, you could consider disallowing end-users from creating new tags and maintaining a very short curated list.  You could even consider re-naming ‘tags’ to ‘difficulty’ across your community by adjusting the phrase.
