Step-by-Step Reconnection Instructions

Follow these steps to restore your Skilljar-Salesforce connection. The process typically takes 10-15 minutes.

Step 1: Salesforce Package Upgrade

  1. Have a Salesforce Admin install the new Managed Package: Salesforce Upgrade Link
  2. (Optional) Choose the correct environment (e.g., Production)
  3. Choose ā€œInstall for All Usersā€
  4. Choose ā€œUpgradeā€Ā 
  5. (Optional) Approve third-party access
  6. Wait for ā€œUpgrade Complete!ā€ message

Step 2: Access the Salesforce Integration Settings

  1. Log in to your Skilljar Dashboard
  2. Navigate directly to: https://dashboard.skilljar.com/salesforce

Step 3: Re-authenticate Your Connection

  1. Expand the ā€œDomain and Authentication settingsā€ section
  2. Your prior settings should still be intact:
  • Domain filtering: Which domains pass data to Salesforce
  • Sandbox vs. Production: Confirm correct Salesforce environment type
  • Link Contacts: Enable if linking students to Salesforce contacts
  1. Click "Save and Authenticate with Salesforce"
  2. Log in to Salesforce with the Salesforce integration user you used previously
  3. Grant the requested permissions when prompted

Step 3: Verify Your Connection

After re-authenticating, verify the authentication was successful:

  1. A confirmation dialog should appear indicating successful authorization to SkilljarĀ 
  2. The green confirmation in the ā€œAuthentication statusā€ block at the top of the page indicates a successful connection to Salesforce

Step 4: Backfill Historical Data

Once your connection is verified, you can restore training data that wasn't synced during the downtime:

  1. On the Salesforce settings page in the Skilljar Dashboard, locate the Backfill button
  2. Click the button to initiate the backfill process
  3. The backfill process runs in the background, and will take time to complete.Ā  Time varies depending on data volume and may take upwards of 24 hours to complete.
  4. Verify in Salesforce that content has populated into your Salesforce App.

Update: Salesforce Connector Reauthorization Requirement Removed

We have an important update to share following our earlier communication about Salesforce connector reauthorization.

After extensive technical and executive-level discussions with Salesforce, the previously observed requirement for Salesforce connectors to be reauthorized every ~30 days has been removed.

Why the Change was Made

This resolution was reached after Gainsight and Salesforce teams collaborated to review the connector’s underlying architecture. A key finding in these discussions was that the Gainsight Managed Package already leverages Refresh Token Rotation (RTR).

Because our integration ensures that credentials are automatically rotated, the additional 30-day reauthorization layer was deemed unnecessary for maintaining a secure, active connection.

What this means for customers

  • No Recurring Reauthorization: Salesforce connectors will no longer require manual reauthorization due to a fixed 30-day window.
  • Seamless Operation: Actively used connections will continue to operate via our recurring RTR cycle without manual intervention or recurring disruption.
  • No Action Required: No additional steps are needed from your team as a result of this change.

We recognize that the earlier behavior caused confusion and interruption for some teams. We appreciate your patience while we worked through this, and we’re glad to share this resolution as part of our continued effort to provide a stable and predictable integration experience.
