InSide Design:  Moderator notes
Communication is the key to great team work. In a moderation team, it is important to keep everyone up to date on what needs to be worked on and what actions have already been taken. This is a feature we've been working on in response to the idea (Notes Section for Moderators on the Backend) shared by @Keith M.





Goal


As a moderator, in order to enable my moderation team to take the most optimal next moderation action on a topic, I want to add notes on a topic level that only other moderators can see in Control





Solution


To start with, a text field 'Moderation Note' would be included in 'Details' section on 'Moderate Topic' page. Moderators can add notes and save it for other moderators who might work on this later on. It is only visible for moderators in control.

Cool stuff @xiaoyu-shen Even this MVP could really benefit the efficiency and collaboration of any mod team!





Some feedback:


- As far as I can tell, there’s no way to tell who added the note and when they added it as opposed to in the mockup from 2 years ago. What if a note raises questions? There's no way to tell if it's from someone who hasn't worked in the team for ages, just to name an example.


- Apparently the note auto-saves, just like the ‘Title’ field. This increases the chance of unintended edits and other mistakes.


- Clickable URL’s would be very nice to have for this field, because chances are the field will be used to refer to external sources: tickets and such.
I agree with being able to see who wrote the note... probably would need to be able to add multiple notes which are submitted rather than just having 1 text box which presumably is a free-for-all.


Also the ability to tag other moderators and have some way for them to see those tags somewhere or get an email notification.

  • We agree that this is useful information. This is something we’ll look into, even for the first version.

UX around saving




  • We’ll take this into consideration too, especially since multiple people can edit the field.

Clickable URLs




  • We’ll see what we can do here - e.g. I can also imagine that you might want to link to another topic.

Tag moderators/send notifications




  • This is probably not something we’ll consider for early iterations of this feature, but thanks for the suggestion.

I really like this feature as I can see that it improves collaboration for the moderators - +1 for all the points that @Jurgen raised





And then I have these questionmarks around data-protection: user information, deletion etc.:




  • As long as there is only non-PII information in the notes, I think it is fine and super.

  • As soon as moderators add PII-Information, this becomes ugly as you'd need to inform customers that you record it, you need their consent and you'd need to be able to delete.



So, not sure how to solve this, but besides educating moderators, I'd suggest a permanent note the admin can edit to remind about the non-PII (or other policies).

Hello, we’re a heavy moderator notes team and it’s difficult for us to see/use this module broken down by:

  • Each moderator who leaves a note is individually posting with username, time and date stamp.
  • Longer notes are searchable
  • Filter by newest to oldest moderation notes
  • Eventually, we want to see a “feed” of the latest moderation notes, if possible.

Just to check - do you mean sort a list of topics by e.g. ‘moderator note updated’ newest first?

Eventually, we want to see a “feed” of the latest moderation notes, if possible.
