Segmenting users is a great, and powerful tool. But it seems we can’t do anything with that segment once created for private groups or categories.

 

Is there a way we can have a private category, with only certain approved users in there? For example, we may want to onboard a new customer, and have those staff access the category. Other than adding each individual new user in (which is an admin nightmare) how can we do it more cleverly please?

Hey @Mark Green Consensus - if I’ve understood your use case properly, I think what you could do is bulk-apply a custom role within Segments and then determine access to the private category based on that custom role.  Do you think that would work for you?


I think it would - but I can’t see how to apply a custom role to segments. 

 

Best case would be we create a new segment based on email (i.e. if they register with a @salesforce.com account) then a custom role is applied.

 

This way whenever get a new customer we can add a segment rule, and they’ll get access to the ‘customer only’ category.


Hey @Mark Green Consensus - yes you could actually do that directly within the User Overview without even creating a Segment, as you can simply add a filter for the email address and then bulk-apply the custom role.  We do the same thing periodically ourselves to make sure that all of our employees (with an @gainsight.com email address) have our employee custom role assigned.


Thanks Kenneth. I think it’d have to be segments because we can’t go in manually and apply custom roles, we have 50k users so needs to be automated.
