We are currently looking for a solution to help us automate a very specific review instance, in which our product specialists (not CSMs) send case data to their clients.  This only occurs for some clients, who have a premier service package.  The CSM's do not need to/shouldn't see this information (as it might muddle their own interactions with the clients).  Only one user on our operations team would need access.  I have determined that there are two ways to display this information within Gainsight:




  1. Create a C360 layout that is assigned only to Premier Accounts and the one specific user that needs to see this case specific data.  All other CSMs would see the default layout for the same accounts. 

  2. Create a dashboard that contains all of the reports, using a global filter so that the user can view the report for each of the Premier clients. 
Now, my question is... if the reports need to be exported and shared for 200 clients, what is the best way to do so in bulk?  Is there a way to automate this or at least get around having to manually export/send the reports to the client contacts one account at a time?
We just added a feature called Shared 360 to be able to meet this kind of use cases.  You could set up a specific 360 layout with the info that should be shared with these customers.  These videos would be useful to introduce you to this new feature (released in our early September release)

Hi Denise - thanks for your response.  I am actually looking to take this a step or two further.  




  1. We want to share the reports with external contacts at our client companies.  I understand that this is not yet recommended (as written in the limitations of the Go information page) and that the Shared 360 is meant to be sent to internal stakeholders.  

  2. I don't want my user to have to do this one at a time for each account, but rather in a bulk, or automated way.  Is there functionality that would enable the one Gainsight user to be able to send ~200 Shared 360's to contacts at each client account within the course of a few minutes?

Is this related to the post Elizabeth made about including more that 5 reports in an Outreach?  If you don't exceed that limit, then sharing reports directly in the outreach would be an option.  For sharing the 360 three things to note.  First, it is technically possible to share with outside parties today but you need to take care since you would be basically treating them as if they were internal folks.  In particular, there isn't an automatic 'catch' to make sure that you don't share the wrong data with the wrong company.  Second, we totally want to enable sending a Share360 link via CoPilot.  We are working on it.  Third, keep in mind that the Share360 links are live.  This means that the reports are calculated each time the link is accessed.  So if you did go through and share with your clients one time and they bookmarked the links then they could refer to it any time to get the latest data.  Of course, you would need to set the expiration on the Share360 appropriately.

HI Karl - thanks for the additional information.  It is slightly related to Elizabeth's post because in this circumstance, there would be 10-12 reports needed to be shared. 





I think the sharing of the Share360 via CoPilot would be a good solution, as long as you could send multiple emails at once.  Where does that fall on the roadmap?
You can add a Shared 360 link to an email template in Adv. Outreaches with the 5.10 Fall release.
