CE+Salesforce Integration Reconnection Guide

This guide walks you through installing the required packages, authorizing the connection, and backfilling any missing data. Most customers complete the reconnection in about 30 minutes.

Before You Begin

 

Participants Needed

To complete reconnection smoothly, you'll want the following people available:

Required for OAuth authorization (should not have System Admin privileges)

💡 Tip: If your Salesforce Admin isn't available, please schedule a short joint session with them before you begin.

☁️ Reconnect Salesforce

Step 1: Upgrade the Northpass Package (~5 minutes)

A Salesforce user with install permissions should complete this step.

 

Step 2: Install the Data Connector Package (~5 minutes)

Step 3: Verify Both Packages

  • In Salesforce, go to Setup
  • Search for "Installed Packages" in the Quick Find box
  • Confirm you see both packages listed:
    • Northpass — Version 2.1
    • Gainsight Northpass Data Connector — Version 1.0

 

Step 4: Authorize the Connection (~10 minutes)

🔑 Integration User: The Salesforce account used to authorize this connection should be a dedicated integration user — not a System Administrator account. This follows the principle of least privilege.

  • Log into https://app.northpass.com as a CE Administrator
  • Navigate to Apps → Integrations
  • Click Salesforce
  • Enter your Salesforce Instance URL (e.g., https://yourcompany.my.salesforce.com)
  • If connecting to a sandbox, toggle "This is a sandbox instance" on
  • Click Authorize
  • Log into Salesforce as your integration user and approve access
  • Toggle "Enable Salesforce Integration?" to ON
  • Click Save
  • Refresh the page to confirm settings saved correctly
  • Confirm the status changes to "CONNECTED - Everything looks good!"

⚠️ Troubleshooting: If the "Salesforce Instance Setup" card is not visible, first disable the integration toggle, click Save, and refresh the page. The card should then appear.

 

🔄 Verify Data Sync

Test the connection by creating a new enrollment and verifying it syncs to Salesforce.

  • In CE, navigate to Content → Courses
  • Select any live course
  • Click the Enrollments tab
  • Click Enroll → Enroll a Learner
  • Select a test learner and click Enroll
  • Wait up to 30 minutes for sync to complete
  • In Salesforce, open the App Launcher and search for Enrollments
  • Confirm your test enrollment record appears

 

📊 Backfill Missing Data

Any learning data generated after November 20, 2025 will not be present in your connected Salesforce org. Use the Data Export feature to backfill this data.

  • In CE, navigate to Apps → Integrations → Salesforce
  • Scroll down to the "Data Export" section
  • Click Email CSV
  • Check your email for the exported data file

⚠️ Note: The Data Export feature exports all historical enrollment data, not just data from the downtime window. Before importing to Salesforce, review and modify the CSV to remove records that already exist — only import records created after November 20, 2025.

  • Review the CSV and remove any records that already exist in Salesforce
  • Use Salesforce's Data Import Wizard or Data Loader to import the remaining records

Update: Salesforce Connector Reauthorization Requirement Removed

We have an important update to share following our earlier communication about Salesforce connector reauthorization.

After extensive technical and executive-level discussions with Salesforce, the previously observed requirement for Salesforce connectors to be reauthorized every ~30 days has been removed.

Why the Change was Made

This resolution was reached after Gainsight and Salesforce teams collaborated to review the connector’s underlying architecture. A key finding in these discussions was that the Gainsight Managed Package already leverages Refresh Token Rotation (RTR).

Because our integration ensures that credentials are automatically rotated, the additional 30-day reauthorization layer was deemed unnecessary for maintaining a secure, active connection.

What this means for customers

  • No Recurring Reauthorization: Salesforce connectors will no longer require manual reauthorization due to a fixed 30-day window.
  • Seamless Operation: Actively used connections will continue to operate via our recurring RTR cycle without manual intervention or recurring disruption.
  • No Action Required: No additional steps are needed from your team as a result of this change.
