Why use groups in Gainsight CE? (8:18)

-Allow you to keep learners organized, segment content to specific groups, creating personas, seperate by persona, products, customer names, 

-Add and remove learners, courses and learning paths, 

How do I create groups and where do learners see that content? (10:14)

-Groups are created in Gainsight CE via the People tab  

-Add learners in a group with the Add button in the group itsself, or you can add a large group of users from the People tab (as if you are inviting them to the instance for the first time) and add a list of emails to a group (19:20). 

-Learners see assigned courses and learning paths on their dashboard (don’t forget to assign content to the group). 

 

Where is the best place to track group data? (27:12) 

-Most analytic dashboards in CE have a filter to separate data by group, but we spoke about the below: 

-School activity to see which learners have activated their accounts. People Leaderboard shows learner’s course enrollment number, completion, and progress. Multiple Course Analysis dives deep into almost every aspect of the learning journey with all courses and their data. Single Course Analysis to see where learners have dropped off.

Q&A Part 1: 

 

Q: Can an individual see what group they are part of?

A: The group function is for admin management only, learners do not see what group they are part of.

 

Q: Is adding a course to a group the same as assigning a course? Or is assigning a course to an individual a separate step?

A: Adding a course to a group is also how you can assign a course to learners. We suggest using groups to assign content so you are not doing assinging content one by one/learner by learner!

 

Q: Doesn't it get chaotic if you end up doing both? I mean, if you add the Learning Path, you don't need to add the courses anymore, right?
A: That’s up to you and what content you want your learners to see. If everything you want assigned to them is bundled up in a learning path, then you don’t need to take the extra step to assign them those courses individually. 

 

Q: Can you add learners to groups via SSO?

A:  When you or your technical team sets up SSO for your learners, they can set up a logic to have users be assigned to a group.

 

Q: one person can be in two groups right?

A: Correct, there is no limit to how many groups one learner can be in. 


Q&A Part 2: 

 

Q: We want to auto assign groups based on email domain. Do you know if anyone has done this successfully?

Q: Can you setup groups by persona then have the ability for your uses to select their persona and it will provide the courses from that group?

A: Both of these can be achieved via a custom solution. For more detailed information and guidance, I suggest reaching out to your account rep, CSM, or cesupport@gainsight.com. 

 

Q: Is there a way to auto add learners to a group through unique URLs or other mechanism? For example, segment learners by state. Without backfilling by using a CSV?

A: Each group has a “Share group link” that you can share with your users, which upon clicking, enrolls them into the group. 

 

Q: Groups vs Properties. When would you use one vs the other. (ex. We want to see analytics breakdown by Product and by Customer)

A: Properties are used to create a more personalized experience for your learners. Groups are used to separate learners to assign content and track analytics. Properties can only be filtered by in the Multiple Course Analysis, meanwhile, groups (for learners) can be filtered by in most analytic dashboards. 

 

Q: Is it possible to assign a group of people who completed a course to retake a quiz?

A: You can reset their progress to retake the course as a whole (so they can retake the quiz in the same course) or assign this group to a whole new course with that new quiz you want them to retake. To make them aware, you can send a group message to them via our communications to ask them to repeat a quiz (this is a manual effort) Or, if you add a certificate to the course or learning path, you can enable a recertification after a period of time.


Q&A Part 3: 

 

Q: Hi! if you’re going to cover this later, feel free to answer later, but, is there a way to email a group directly from gainsight? Specific use case: I’ve recently learned that assigning courses with due dates is not yet supported. I’d like to be able to easily contact the learners who have not completed their assigned courses - thoughts or workarounds for this problem?

A: Yes! While you can send an automatic Inactivity Nudge for individual learners to receive, you can create and send a one time Group/Broadcast message via the Communications tab. 

 

Q: Can you automatically put a learner into a group based on Hubspot integration?

A: The native CE <> Hubspot integration only sends learning data to a learner’s contact record in Hubspot. For a deeper integration/workflow, I suggest reaching out to your account rep, CSM, or cesupport@gainsight.com.

 

Q: If I have people in more than 1 group and assign the same group to those groups, they will not be assigned the course twice, correct?

A: Yes! 

 

Q: When you bulk added learners to group(s) on the invite screen, will that override any groups they are currently in?

A: No, because learners can be in an unlimited amount of groups

 

Q: It is my understanding that you can assign a manager to a group. Can you assign only one manager per group? And how does that group manager assign courses and then view reports on course activity?

A: I don’t believe there is a limit to how many managers can manage a group in CE. Also, the admin of the CE instance determines the manager’s permissions to manage that group.
