Customer risk rarely appears overnight. Warning signs often emerge months before renewal through declining adoption, stakeholder changes, negative sentiment, or unresolved support issues. The challenge is recognizing which signals matter and acting while there is still time to recover.

During our From Red Flags to Renewal webinar, we explored how Customer Success teams can use Gainsight CS to transform early warning signals into consistent and actionable renewal strategies.

A Practical Framework for Managing Risk

We introduced a five-stage operating model:

Detect → Diagnose → Prioritize → Act → Monitor and Recover

This approach helps teams move beyond static health colors and focus on meaningful changes in customer behavior. Automation can identify and route a signal, but human judgment remains essential for determining whether the risk is material, diagnosing its root cause, and selecting the right response.

The webinar examined four common risk areas:

  • Adoption risk: Declining active users, reduced core feature usage, or the loss of power users
  • Relationship risk: Champion departures, limited stakeholder coverage, or declining executive engagement
  • Sentiment risk: Falling survey results, negative feedback, delayed responses, or customer silence
  • Support risk: Critical escalations, recurring issues, aging cases, or technical problems that prevent customers from achieving their goals

We also demonstrated how Gainsight capabilities, including Scorecards, Adoption Explorer, Timeline, People Maps, Rules Engine, CTAs, Cockpit, and Playbooks, can support a structured risk management process.

Five Takeaways to Remember

  1. A health score is a signal, not a diagnosis.
  2. Outcomes health and customer experience can reveal different types of risk, so we recommend measuring them as separate health score dimensions.
  3. A health color tells us where the customer is today. Trend, persistence, and convergence tell us where the customer may be heading and how seriously we should respond.
  4. Every confirmed risk needs an owner, response plan, target date, and recovery criteria.
  5. Renewal readiness is built throughout the customer lifecycle, not only when the renewal date approaches.

To get started, select at least one high-value risk signal and build an end-to-end workflow around it. Define the trigger, diagnostic questions, owner, response playbook, and evidence required to confirm recovery. Pilot the workflow, measure the results, and refine it over time.
