Automate reporting and reduce manual effort with scheduled exports in Customer Community.

You can now configure recurring data exports, allowing reports to run automatically on a defined schedule instead of generating them manually each time.

This enhancement helps admins streamline reporting workflows and ensure data is delivered consistently and on time.

Here’s What’s New

Schedule recurring exports
Set exports to run automatically at a defined time, eliminating the need for manual report generation.

Flexible frequency options
Choose from multiple scheduling options:

  • Weekly — runs every week on the selected day, providing data from the last 7 days

  • Biweekly — runs every two weeks on the selected day, providing data from the last 14 days

  • Monthly — runs on the first day of every month, providing data for the previous calendar month

  • Quarterly — runs on the first day of the calendar quarter, providing data for the previous quarter

Download when ready
Once processing is complete, you can retrieve the generated export file directly from the system.

Scheduled Exports are available within the Community export functionality.

@kcronin Nice addition. If I schedule a User export monthly, which users will it contain? All users or just the ones active in that month?

@Jef Vanlaer the logic for User exports has not changed. When you schedule a user export monthly, it will include an overview of all user information for participants who have registered within that specific time frame ( previous month).

@Aleksandra Thank you. So that means it is not possible to get a scheduled monthly overview of all users in the community at the moment, right?

@Jef Vanlaer it is not possible now. You can get it manually on demand. What would be the use case for such recurrent export of all users?

I’m creating a monthly overview of all registered users by customer (custom field). Currently taking a manual export for this indeed on the first of every month, but if that’s not a working day or I forget, it’s not fully correct of course.

My questions is, what is the user case behind the scheduled exports if it still keeps the same date rage as when you chose when setting it up?

I as I am still relatively new to Gainsight my general question is also, what is the user case for this? When should I work with the scheduled exports?

@Jef Vanlaer I confirmed internally and unfortunately, we don't have plans to offer "all-time" scheduled users exports through the standard Exports tool.

For your specific use case—tracking your entire registered user base by customer field—we recommend using our Data Lake connectors. This is the most reliable way to automate recurring analysis without needing to perform manual exports every month.

@Aleksandra sure I can… if I want to schedule a recurring exports, for instance on topics or logings within a specific timeframe, for instance topics or logins within the last month, I want to get a export of topics or logings of the last month, so in this case February. But next month I would like it to be of March… But the only option that I have is all time or select date range… It would not automatically look at ‘last month’ or so… but either all time or the specific time that I chose. 

And again perhaps you can also shed some light on when to use the recuring exports. As is still need to figure out if/when this is relevant for us.

@Sanne van Opstal-Brakel choosing recurring exports you have 4 options : 

  • Weekly — runs every week on the selected day, providing data from the last 7 days

  • Biweekly — runs every two weeks on the selected day, providing data from the last 14 days

  • Monthly — runs on the first day of every month, providing data for the previous calendar month

  • Quarterly — runs on the first day of the calendar quarter, providing data for the previous quarter

So if you chose monthly as your recurrency, on 1st of April you will get data for March and on 1st of May you will get data about April etc. 

Usage of export data depends on your needs. Maybe others can share their use cases.
