@Yoeri @Marion Frecaut and any other community experts: how are (public) groups set up in Insided for internal search results and indexing?

Following some testing, I’m actually now pretty confident that public groups can be crawled and indexed, and show up in internal search results. Plus private groups show up in the internal search results for those that are members of those groups. 

 

I might’ve missed this advice on Inspired, or it might be obvious. But perhaps Inspired content could do with clarifying this, particularly in this Groups FAQ topic :)

I can also add to that my latest group related check, not that anyone asked:
The invite link for a private group does bypass the need for approval of the contact in control. Which is a behaviour I at least am happy about!

We are getting ready to launch 3 new groups in our community and I wanted to know if anyone found success with a similar launch? Specifically would like to know best practices on how much time between each launch? And any other things that came up that I should be prepared for?

Hi @Yoeri quick question on the group events - does this feature also include the ability for group members to RSVP?

Yes it does @jessicadaniels as long as you have enabled ‘Community RSVP’ in the event settings for the event that you created.

That is not possible with groups: Content will always be visible in public groups regardless the user is logged in, or logged out. Community categories do allow you to hide content for non-logged in users (and show it for logged in users)

I wanted to fact check this response since the answer is from 1 year ago. 
 

Are public groups and its content still accessible to non-community members or users who are logged out? 

Our entire community is closed to the public so I’d like to confirm that this means our public groups are not visible to non-community members.

Hi @JessicaMendez 👋,

What Yoeri mentioned is only applicable for public communities. Since your community is a private community, users will need to login to access any of the content, regardless of what module the topic belongs to or what content type it is.

If you were to change your Platform Visibility to public, the public groups and content that belong to it would be accessible to both logged-in and non-logged in users (although users would need to login and join the public group in order to interact with it).

So to answer your question, your public groups are not visible to non-community members as long as your platform visibility is set to private.

I created a Group, then went to rename but saved it before I had added the new name, now I am unable to edit the group or delete it, but it is still showing on the community.  When I click on the Group banner it says page not found. 

Anyone else had this issue?

 

UPDATING THIS REPLY: for anyone else having this problem, Support was able to fix this issue on the back end.

Hey there! We use Groups for a few different use cases, one being during the development of new product features and enhancements. Generally, these Groups are Private or Hidden depending on the scope of the feature and whether we’re engaging a select group of customers to be involved or inviting wider engagement from all Community members.

As these new features are released and communicated to our customers, I was hoping to understand what the best practices are around closing/archiving the Group?

I’m aware that a Group can be deleted but was wondering how others approach this given that there might be a need to keep a record of updates and customer feedback etc

That's a great question that I haven't seen come up before. 

My personal recommendations would be to either:

  1. Record all of the relevant feedback outside the community, announce that you will close the group and thank users for being a part of it, whilst giving them the opportunity with a bit of time to leave any final feedback until the group is closed. Then delete the group.
  2. Announce that you will close the group and thank users for being a part of it, whilst giving them the opportunity with a bit of time to leave any final remaining feedback until the group is closed. Remove all users from the group. Convert (if applicable) to a hidden group. This way it doesn't clutter the Group overview page and you can preserve all of the content and history on the community. 

I would advise option 2 to preserve all the activity.

There's a few other opportunities that we've seen customers use after these groups have served their purpose: 

  • Thanking by @ mentioning users that were part of these Groups for their time testing and sending feedback to improve the feature in the Product Update that announces the new feature. Users get kudos and recognition for their efforts.
  • Create 'customer spotlights' for how these customers are using these new features (the early adopters that are part of these groups are usually using these the best). For example we did this for Goosechase to showcase how they leverage email campaigns functionality.

 

I’d be curious to hear how other Community Managers handle the closure of a group as well…

Am I understanding this correctly?

New posts in a hidden/private group are visible to me on the homepage because I am an admin. However new posts in a hidden/private group will not appear on the homepage for other users who are not members of that group. 

I’d like to triple-check this, as we have some hidden groups within the community that are just between accounts and CSMs.

Hi this is super helpful. I want to ensure my understanding is correct about email notifications for private groups and have two addl questions:

  1. If I have a private group and members join it, will they receive an email notification when I post a new topic (but not to a reply on a topic) in the group because they are automatically subscribed? Also, can a user be in a group and unsubscribe from the notifications?

  2. Do admins have access to see which members opened these notification emails?

Yes, users can unsubscribe from receiving group notifications

 

Do admins have access to see which members opened these notification emails?

No, we don’t provide analytics on system emails.
